Your Workstation Sheet

In this part of the site, you will find help and tools to fill out your Temporary Workstation Sheet (TWS) correctly and as completely as possible. You can fill out your form directly using the online form or use a blank form template in interactive PDF format or WORD format.

The online form allows you to download and save your sheet in PDF. You can then forward it on to your Temporary Work Agency.

Both the online form and blank form template offer help and information at every step through tooltip boxes.

You can also consult a user undertaking manual that guides you step by step in the development of your form. A list of all the data you need to have on hand is also available. Browse it before you start!

Form templates are available in 11 languages: French, Dutch, English, German, Spanish, Polish, Portuguese, Romanian, Bulgarian, Turkish and Arabic.

The user undertaking is responsible for the content of the workstation sheet.

The user undertaking must carry out a risk assessment for each workstation in the company, including for the workstation/function in which he/she wishes to occupy a temporary worker. If this risk assessment shows that there are health risks, the creation of a workstation sheet is mandatory.

The user undertaking is the only one who can correctly identify and estimate risks and put in place appropriate preventive measures.

The temporary work agency cannot complete section A of the workstation sheet itself. It will only select the ideal temporary worker for the position to be filled using the information provided on the workstation sheet. If necessary, it will organize health surveillance.

Incomplete and incorrectly completed workstation sheets should not be accepted by the temporary work agency. The temporary work agency will ask the user undertaking to complete the missing data and will draw its attention to the importance of a properly completed workstation sheet.

 

 


 

PI-F

PI-F are detailed technical documents that provide information on various workstations and specific functions (forklift driver, nurse, mechanic, etc.). These are intended to help you complete the TWS by describing the requirements, obligations, risks and points of concern for the various functions.

Warning: these documents are only an aid, only the risk assessment allows to consider all the elements consistent with the specific reality of the workstation in the company.

PI-M

Temporary work agencies can search the PI-M Centralized Database to see if a temporary worker is still medically fit for the risks mentioned on the workstation sheet. 

There is a unique code for each health risk to which a temporary worker may be exposed. These codes are entered on the workstation sheet by the user undertaking. Using the correct code is essential because the occupational physician refers to it to carry out the corresponding health assessment. These codes are one of the elements of the identification number of the workstation sheet. The latter is used by temporary work agencies to search the PI-M centralized database.

No. In addition to the workstation sheet, the temporary work agency will inform the user undertaking whether extra measures have been taken to combat Covid-19.

The workstation sheet is a standard document based on Codex Annex X.2-1 "Temporary work" and is only intended for communicating the preventive measures for health and safety risks at workstations that require prior health surveillance by an occupational health physician (e.g. safety function, position with increased vigilance, shift work, etc.).

The additional Corona measures that every employer must provide today are in place for the protection of general public health and go beyond the " workstation sheet " as such. It is a general corona policy of the user undertaking-employer that is separate from the "workstation sheet" and applies to all employees, all visitors and third parties who come to his or her company.

As with the "Belgian Code of Well-being at Work" , when taking the appropriate measures against Covid-19, the user undertaking is responsible for compliance with it among its permanent and temporary workers.

Yes.

The temporary work agency must provide the temporary worker with a fully completed copy of the workstation sheet. Belgian Code of Well-being at Work (Codex art. X.2-5§2) does not specify how this should be done. This can be done on paper or digitally.

It is important for the temporary work agency to be able to prove that it has provided the temporary worker with a copy of the workstation sheet.

It is a code of good practice for a temporary work agency to explain the workstation sheet to the temporary worker in an adequate manner.

The temporary work agency keeps a completed copy of the temporary workstation sheet for the duration of the temporary worker's mission to a user undertaking. It provides a copy to the temporary worker prior to the start of its mission and keeps the workstation sheets available to the occupational physician, the prevention advisor and the officer in charge of monitoring well-being at work (labour inspector).

The user undertaking keeps the workstation sheets available to the person in charge of the induction, the prevention advisor of the internal department, the prevention advisor - occupational physician and the officer in charge of monitoring well-being at work during the entire temporary worker's employment period.
